About the processing of personal data

For the sale of goods and the operation of our website, we process certain personal data. The processing is governed in particular by Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (GDPR).

I. Processing of personal data

Below we describe the main situations in which we process personal data, the purposes of processing, the legal grounds, and the retention periods.

A. Processing of personal data when using the contact form

If you contact us via the inquiry form, we process in particular the following data:

• first name and surname
• email address
• phone number
• address / registered office

Purpose: contacting you for further arrangements regarding goods or services.

Legal basis: Article 6(1)(b) GDPR — negotiations on entering into a contract / steps prior to entering into a contract at the request of the data subject.

Retention period: if we do not establish further cooperation with you, we retain the data for a maximum of 5 years from the last communication.

B. Processing of personal data in the event of a purchase

When making a purchase, we process in particular billing and contact details: first name, surname, address/registered office, email, and phone number.

Purpose: performance of the contract (delivery of goods), communication about the status of the order, handling complaints, and accounting and tax obligations.

Legal basis: Article 6(1)(b) GDPR — performance of a contract; Article 6(1)(c) GDPR — compliance with a legal obligation.

Retention period: for the duration of the service and subsequently for 10 years from the last provision of the service or delivery of goods (accounting/tax obligations).

C. Newsletters (commercial communications)

If you are our customer and have not opted out of commercial communications, we will use your email address to send you updates.

Legal basis: Section 7(3) of Act No. 480/2004 Coll., on Certain Information Society Services (provided that you did not opt out at the time of purchase).

Retention period: 10 years from your last purchase. You may unsubscribe at any time via the link in the email or by contacting info@scentics.cz.

II. Who has access to the data?

Your data remains with us; however, the operation of the e-shop is assisted by external entities that may have access to certain data:

• the operator of the e-shop platform Shoptet (Shoptet a.s.)
• companies involved in the delivery of goods (e.g. Zásilkovna, PPL)
• entities providing payment processing and payment gateways (banks and payment gateways)
• hosting and email service providers (e.g. ZONER a.s.)
• marketing agency (if used)

Place of processing: we process personal data only within the territory of the European Union.

III. What else you should know

• We have not appointed a Data Protection Officer.
• There is no automated decision-making or profiling in our company.

IV. Use of cookies

• object to processing based on the legitimate interest of the controller.

If you believe that we handle your data improperly, you have the right to lodge a complaint with the Office for Personal Data Protection or apply to a court.
